The SelectPay Importer can be used to import a wide range of information into the database, such as employee records, pay elements, nominals, benefit records and more. To get started, follow the sections below.
Install SelectPay Importer
Before moving into the next sections, first make sure the SelectPay Importer is installed. To do this, follow the steps below.
📌Note: If you are a hosted customer and you do not have access to the SelectPay Importer from your gateway, raise a case with our support team.
Press the Windows key, and then search for 'SelectPay Importer'.
If nothing is displayed, go to the following location.
C:\Program Files (x86)\Access Applications\SelectPay v2025r1\SelectPay Importer\SelectPay Importer.exe.
If the SelectPay Importer.exe isn't there, contact your local IT for it to be installed.
Payroll connection
When first using the SelectPay Importer application for a database, a payroll connection must be set up to connect the Importer to the SelectPay database. To do this, follow the steps below.
Launch the SelectPay Importer, and then click the Settings tab.
Click Payroll Connections, and then click New.
Click the new line created, and then enter the required information.
📌Note: If you're hosted, raise a case with our support team requesting the following bullet-pointed information.
Connection name:- Enter a unique name.
Payroll server:- Server name of the server hosting the SelectPay service.
Port number:- TCP port number of the SelectPay service.
Database:- Database name you want to connect to.
Username:- SelectPay username.
Password:- SelectPay password.
Click Validate, and then click Save.
Import Template
You can generate an import template from the data mapping tab, which can then be used to create your import. To do this, follow the steps below.
Click the Settings tab, and then click Data Mapping.
Select the record type that matches your import data.
Click New, and then click Export Template.
Click Full Template, and then click Save.
🤓Tip: The fields listed in red are mandatory for the import type selected.
Once you have the template and have filled out the required fields, you will need to save the file as XLS 97 - 2003. To do this, follow the steps below.
Click File, and then click Save As.
Click Browse, navigate to your desired save location.
Click the, save as type dropdown, and click Excel 97-2003 Workbook.
Click Save.
Data connection
A data connection is adding the Excel file that was created in the step above; this should contain the information you want to import. To add this, follow the steps below.
Click the Settings tab, and then click Data Connections.
Click New, and then enter the required information.
Connection name:- A memorable name.
Filename:- Click Browse and select the Excel file to import.
Click Save.
Data mapping
To link the fields in the Excel file to the fields in SelectPay, you will need to continue the data mapping process. To do this, follow the steps below.
Click the Settings tab, and then click Data Mapping.
📌Note: This should already contain your previous selection. If not, click new, and select the same record type.
Click the data source drop-down.
Select the source uploaded as part of the data connection section.
In the process mode column, select, from column, for each required field.
In the process value column, select the matching column from the import file.
Repeat steps 4 and 5 for all the required fields.
Click Save.
Process import
Once all the sections above have been completed, you can import your data into the SelectPay database. To do this, follow the steps below.
🤓Tip: You can't be logged into SelectPay with the same username being used by the importer while importing data.
Take a database backup before importing.
Click Process Import, select the required information from the drop-downs.

Click Count: This will show the number of lines to be imported.
Click Validate, and then click Process.
