Benefit type F - Company car and car fuel

Create a company car benefit record for an employee.

To record and process a company car for an employee, you will need to create a benefit record and assign a car to it. To do this, follow the steps below.

Add a company car

  1. Click Payroll, and then click Employees.

  2. Find and select the required employee.

  3. Click Expenses, and then click Benefits.

  4. Click the car benefit record, then click Company Cars.

  5. Click New Company Car.

    πŸ“ŒNote: If you are creating a replacement car record, select the replacement car checkbox.

  6. Enter the make and model of the car, then the registration number.

  7. Enter the remaining required information, using the tables below.

General tab

Price

The list price of the car when new, including delivery, VAT and car tax, if applicable.

Date of registration

The date the vehicle was first registered.

Available from

The date the vehicle was first made available to the employee.

Available to

Leave blank if in use, the date the vehicle was last available.

Fuel type

Select the correct type from the drop-down list.


Car Benefit tab

Original accessories

The value of any accessories charged on the original invoice.

Added accessories

The value of any accessories that have been added for this Employee.

Contribution to purchase

The amount the employee contributed towards the purchase of the vehicle.

Contribution to costs

The amount the employee is contracted to contribute towards the running costs of the vehicle.

CO2 (g/km)

Enter the manufacturer's C02 g/hm figure.

Zero emissions mileage

The approved zero-emissions mileage figure for the car.

No approved C02 emissions rate

Select this checkbox if there is no CO2 emissions rate for the vehicle.

Engine capacity

Enter the engine capacity in cc.


Fuel Benefit tab

Free fuel

Select from the drop-down if free fuel is supplied or not.

None

The employee doesn't receive any fuel

Supplied - including personal use

The employee receives free fuel that includes personal use.

Supplied - Business use only

The employee receives free fuel, but not for any personal use.

Employee pays for private fuel

Select this checkbox if the employee reimburses you for the fuel they use for private mileage.

Date withdrawn

Only enter a date in this field if the free fuel is withdrawn. The fuel benefit will be scaled for the part of the tax year it was available.

Reinstated

Select this checkbox if free fuel is reinstated within the same tax year. The benefit will then be charged for the full tax year.

  1. Click Save and Close.
